You may still need your own wedding coordinator, depending on what your venue’s coordinator includes. Some venues provide comprehensive wedding coordination, while others offer a venue manager who oversees the property, facilities, and venue staff. Ask about specific responsibilities before deciding.
The distinction is who manages your entire celebration. Your wedding coordinator can bring together your outside vendors, personal décor, ceremony plans, and timeline while helping you and your family navigate the day.
Before booking additional coordination, ask your venue:
Who creates and manages our complete wedding-day timeline?
Who communicates with vendors we book independently?
Who leads our rehearsal and organizes the ceremony procession?
Who handles our personal décor and belongings?
Who helps us resolve unexpected problems throughout the day?
What hours will the coordinator be present, and who takes over when they leave?
If those responsibilities are already covered, you may not need a separate coordinator. If there are gaps, independent wedding coordination can give you the support you’re looking for.
At Orchid & Jade Events, we’re Vanessa and Kyla, a mother–daughter wedding planning team serving Snohomish, Skagit, Island, and Whatcom counties, Washington. Our Bloom wedding coordination collection helps bring your plans together so you and the people you love can enjoy the celebration. We work alongside your venue team, with responsibilities clearly defined.
Unsure what your venue includes? Tell us about your wedding, and we’ll help you understand where additional coordination could make a difference.

Yes. A wedding planner can help you research vendors, compare proposals, and make decisions that reflect your priorities and spending plan. The amount of support depends on your planning collection.
With Orchid & Jade Events’ Luxe full-service collection, we research vendors, handle inquiries, coordinate consultations, compare proposals, and track contracts and deadlines. You retain approval over your vendor team and sign and pay vendors directly.
Budget management helps you understand how individual choices affect the overall wedding. We help track planned expenses, commitments, and remaining decisions so you can make informed choices.
For couples seeking a more collaborative level of support, our Flourish partial-planning collection offers help within an agreed planning scope.
-
Those responsibilities should be assigned before the wedding to your planner, coordinator, venue team, and vendors. Clear assignments help prevent important tasks from falling to the couple or their families.
At Orchid & Jade Events, your collection and agreement define our responsibilities for timeline management, rehearsal coordination, personal décor, and wedding-day logistics.
Our Luxe collection includes a one-hour rehearsal, 14 hours of wedding-day coverage with Vanessa and Kyla, and personal décor setup and breakdown within the agreed scope. Catering service, rental installation, venue cleaning, and other specialist tasks should be confirmed with the responsible vendors.
We help coordinate the moving parts and address unexpected issues so you have a clear point of contact throughout the celebration.

Orchid & Jade Events is a mother–daughter wedding planning team serving Snohomish, Skagit, Island, and Whatcom counties. We bring the warmth, trust, and personal investment of family into the way we care for our couples.
We’re Vanessa and Kyla, and we want you to feel comfortable being yourself with us—sharing your ideas, asking questions, and telling us what matters most. We take time to learn your story, understand your family dynamics, and notice the little things that make a celebration feel like yours.
Working together as mother and daughter gives us a special appreciation for weddings. We understand the excitement of beginning your own family and the meaning these moments hold for the people who helped you get here. That perspective shapes our planning, from making space for meaningful traditions to helping your loved ones enjoy the day alongside you.
Our hope is that by your wedding day, we feel like familiar faces in your corner: people you trust to handle the details, care about your experience, and celebrate wholeheartedly with you.
Thoughtful planning. A personal connection. A team that feels like family.

Hire a full-service wedding planner early if you want help choosing your venue, building your budget, and finding vendors. If you’re planning the wedding yourselves, book coordination once your date and venue are confirmed so you can secure support for your celebration.
You don’t have to wait until you feel overwhelmed to ask for help. At Orchid & Jade Events, we offer full planning, partial planning, and wedding coordination throughout Snohomish, Skagit, Island, and Whatcom counties.
We’re Vanessa and Kyla, and we’ll help you choose a collection based on what you’ve already planned, what you enjoy doing, and what you’d love to hand over.
-
Begin with your priorities, approximate guest count, and spending plan. Then secure your venue and date before booking vendors whose availability depends on that date.
If you want full planning, involve your planner before choosing the venue. After that, prioritize the professionals most important to your experience, such as your photographer, caterer, or entertainment. Check your venue’s requirements and included services before signing additional contracts.
At Orchid & Jade, we help you understand which decisions come next and how they fit together. With our Luxe full-service collection, we research vendors, coordinate inquiries and consultations, and track the details while you approve the choices.
-
Ask what the venue includes, what you’ll need to arrange separately, and whether the space supports your guest count, budget, and plans in different weather conditions.
Bring these questions to your venue tour:
What is the total price, including required fees and staffing?
Which tables, chairs, linens, and other rentals are included?
Can we choose our own vendors?
What is the rain backup, and can it comfortably accommodate all our guests?
When can vendors arrive, and when must everything be removed?
What does your venue coordinator handle?
Who is responsible for setup, breakdown, and cleaning?
Are there restrictions on music, candles, alcohol, or decorations?
What parking and accessibility arrangements are available?
At Orchid & Jade, we look beyond how a venue photographs. We want to understand how your wedding will work there—and what it will take to bring your vision to life.
-
Couples can overlook expenses that sit outside a vendor’s advertised starting price, including taxes, service charges, delivery, staffing, rentals, and breakdown.
Depending on your celebration, you may also need to account for alterations, beauty trials, vendor meals, transportation, postage, overtime, and weather-related rentals.
Ask each vendor for an itemized proposal and clarify what is optional, required, or charged separately. Don’t assume a service charge is a gratuity; ask what it covers.
At Orchid & Jade, budget planning starts with what matters to you. We help you see how the pieces add up so your decisions reflect your priorities and your comfortable spending range.
-
Yes. Wedding coordination is designed for couples who want to make their own planning decisions and have professional help bringing those plans together.
Our Bloom wedding coordination collection is a fit for couples who enjoy choosing their vendors and personal details but want support with final logistics and the wedding day.
We clarify the responsibilities covered by your collection so you understand what we’ll handle and what needs to be assigned elsewhere. The goal is for you to enjoy the plans you’ve made, with familiar faces helping everything come together.
-
Start by gathering your contracts, listing what you’ve booked, and identifying the decisions still outstanding. You don’t need to solve everything at once.
Your next priorities usually depend on your date, what the venue includes, and which vendors matter most to you. A clear plan can make the remaining work feel much more manageable.
Our Flourish partial-planning collection is designed for couples who want to stay involved while sharing the planning work. At Orchid & Jade, we meet you where you are and help you move forward with support that fits your agreed scope.
-
Setup and breakdown should be assigned in advance because different teams handle different items. Personal décor, rental installation, floral installations, and venue cleaning are separate responsibilities.
Ask who will place your signs, guestbook, favors, and other personal items. Then confirm who handles tables and chairs, floral installations, packing belongings, rental collection, and rubbish removal.
At Orchid & Jade, we define our décor responsibilities in your collection and agreement. Our Luxe collection includes personal décor setup and breakdown within the agreed scope. We also help clarify the other assignments so your family knows what, if anything, they are responsible for.
-
A friend or family member can help, but coordinating a wedding means taking responsibility for much more than keeping an eye on the clock.
They may need to communicate with vendors, organize the ceremony, manage transitions, answer questions, and respond when something changes. That can leave them with little time to experience the celebration as your guest.
As a mother–daughter team, we understand wanting your family close. We also believe they deserve to be present for the moments you’ll remember together. Professional coordination gives you another option for handling the work while your loved ones celebrate alongside you.
-
Build the timeline around your actual ceremony, vendor requirements, travel, and priorities—and allow breathing room between activities.
Getting ready, gathering people for photographs, moving guests, and serving dinner all take time. Coordinate with your photographer, caterer, venue, and entertainment before finalizing the schedule.
At Orchid & Jade, we care about how the day feels as well as how it runs. We help plan realistic transitions and protect time for the things you’re excited about, whether that’s a private moment together, greeting your guests, or getting onto the dance floor.
-
Decide together which choices belong to you as a couple, then invite your families into meaningful roles that feel comfortable for everyone.
That might mean incorporating a tradition, honoring someone through a reading, displaying family photographs, or asking a loved one to help with a specific planning task. You can appreciate someone’s ideas without including every suggestion.
At Orchid & Jade, family is part of who we are and how we work. We take time to understand the people and relationships that matter to you. Our role is to support a celebration that feels like your own while making room for the people you love.
-
Choose a workable rain backup before booking your venue and confirm how it would accommodate your ceremony, reception, guests, and vendors.
Ask whether the backup space has enough capacity, what rentals might be needed, and who decides when to change plans. Consider guest access, covered walkways, ground conditions, temperature, and accessibility—not just whether the ceremony has a roof.
At Orchid & Jade, we help couples think through the practical details of a Northwest Washington wedding. A thoughtful backup should still feel like your celebration, with a clear plan that your vendors understand.
-
Guests should know how they’ll reach the island, where they’ll stay, and how they’ll travel between their accommodations and wedding events.
Share travel information early. Depending on their route, guests may use a ferry or drive via Deception Pass. Link to current Washington State Ferries information instead of relying on fixed schedules or wait-time estimates.
Include lodging suggestions, parking details, transportation arrangements, and guidance on when to arrive. Confirm local transportation options before suggesting that guests rely on rideshare services.
For a Whidbey Island wedding, Orchid & Jade can help you identify guest logistics that need attention and discuss how that support fits your planning collection.
-
Choose vendors whose work, communication, availability, and proposals fit your priorities—not simply the first names on a recommendation list.
Review complete examples of their work, read recent reviews, and ask what their services include. Compare proposals carefully: hours, staffing, delivery, travel, equipment, and additional charges can make similar-looking packages quite different.
Recommendations are a useful starting point, but your vendor team should fit your wedding.
With Orchid & Jade’s Luxe full-service planning collection, we research vendors, coordinate consultations, compare proposals, and track contracts and deadlines. You make the final choices, sign contracts, and pay vendors directly while we manage the planning work.
